​​Part-Time Communications Coordinator

The Brentwood Baldwin Whitehall Chamber of Commerce is seeking a detail-oriented and creative Part Time Communications Coordinator to support administrative operations, marketing, and event coordination.  This role requires proficiency in Google Platforms, Canva, Eventbrite, Mailchimp, and basic website content management.  The ideal candidate is organized, tech-savvy, and passionate about supporting local business and community engagement.  This is a remote position with some in-person activity (attendance at meetings can be virtual).  The coordinator will report directly to the Chamber President. 

 

Essential Duties & Responsibilities

General Responsibilities

  • Provide general administrative assistance to the Chamber Board.

  • Serve as the primary point of contact for the Chamber.

  • Maintain all Chamber records – digital and paper – including but not limited to: Board Terms of Office, Membership Lists, Event Tracker, and Golf Outing(s) Events.

  • Manage the Chamber's internal and external calendar of events and meetings.

  • Maintain Membership Spreadsheet including updated contact information.

  • Ensure consistency in branding and communications across all platforms.

  • Develop fliers, posters, infographics, and digital tools for Chamber activities as needed.  Promote aforementioned activities and events.

 

Specific Duties

  • Manage email correspondence daily.

  • Retrieve mail from Brentwood Library and Brentwood PO Box twice a week or more.

  • Coordinate Monthly Membership Luncheons/Breakfasts including managing RSVPs, keeping records of 50/50, the Door Prize, and Raffle Winners.

  • Invoice membership annually for Dues, Sponsorship Opportunities, and other expenses.

  • Manage submissions for the annual Educational Grant.  Work closely with School Superintendents to establish timelines, review applications, notify winners and unsuccessful applicants, and plan Awards Luncheons.

  • Assist in planning and promotion of Chamber Events.  Create and manage event listings and ticketing through Eventbrite – tracking RSVPs and dietary restrictions as applicable.

  • Keep website current, specifically in regards to event calendar, news updates, and membership listings.  

  • Design and produce a Monthly Email Newsletter for distribution (via MailChimp) to Members.  

  • Create, design, and publish promotional material using Canva for Social Media, Email Newsletters, and Chamber Events including but not limited to Monthly Luncheons, Coffee Talks, Golf Events, and more.  

  • Coordinate Tote Bag Sponsorships for Community Events – Whitehall Community Day, Brentwood Community Day, Baldwin Community Day, Brentwood Light Up Night, Annual Food Truck Event and Baldwin Holiday Festival.

  • Assist the Golf Committee with the planning, execution, and follow-up of Community Golf Day and Corridor Community Golf Outing.

 

Qualifications

Education/Experience/Licenses/Certifications

  • High School Diploma or equivalency required.

  • Minimum of 2 years experience in Social Media Marketing, Communications, Event Management, Graphic Design, or related field preferred.

 

Necessary Knowledge Skills & Abilities

  • Friendly, professional demeanor and commitment to community development.

  • Ability to multi-task and work independently with minimal supervision. 

  • Proficiency in Google Products, Canva, Eventbrite, Mailchimp, and basic website CMS (WordPress, Wix, or Squarespace). 

  • Accuracy and attention to detail are essential.

  • Proven administrative experience, and strong communication and writing skills.

The position is 1099 and pays $600/Month ($7,200 Salary).
